PRINCIPLES This policy sets out the procedures and terms and conditions for students and sponsors who are registered with The Australian National University as officially sponsored students and official sponsors. Where students are registered as officially sponsored, invoices for tuition fees will be emailed directly to the registered sponsor. PROCEDURES 1. Registration of an official sponsorship is available to students who: - Are being officially sponsored by an organisation such as a university, an employer or a government agency for their tuition fees (DTF, ISF, Student Contribution) or OSHC;
- Complete and sign the official Notification of Sponsorship form and provide The Australian National University with the completed form by the required date (see condition 8)
2. Individuals (such as parents) cannot be registered as sponsors. 3. The duration of an official sponsorship can be for periods longer (or shorter) than a year, as well as for only a portion of each fee. 4. Official sponsors will be invoiced automatically throughout the period of the sponsorship. Invoices will be emailed to the sponsor. 5. To register an official sponsorship with The Australian National University, a Notification of Sponsorship form must be completed by the student and the information supplied must be verified by the sponsor. The Notification of Sponsorship form cannot be accepted if it has not been signed by the student. 6. Failure to provide all required details will render the request null and void and the student will be required to meet all fees and charges. The University reserves the right not to accept a sponsor for billing purposes. 7. Completed Notification of Sponsorship forms must be lodged with the Student Fees Office, Division of Registrar and Student Services by the required date (see condition 8) to be accepted as an official sponsorship. 8. A complete and acceptable Notification of Sponsorship form must be submitted to the Student Fees Office prior to the course census date. A Notification of Sponsorship form cannot be accepted for a course if the census date has passed. Where a completed Notification of Sponsorship form is not submitted by the census date, the student will be required to meet all fees and charges for the particular course in question. 9. The Notification of Sponsorship form requires the sponsor to stamp the form with the organisation's official stamp or seal. In the instance where a sponsor does not have a stamp or seal to certify authenticity, the sponsor is required to submit a brief note of Intention to Pay written by the sponsor on their official letterhead. This letter must accompany the completed Notification of Sponsorship form. 10. Students who are Commonwealth Supported must complete a Request for Commonwealth Support and HECS-HELP form by the census date of their course(s). 11. Students must notify the Student Fees Office immediately if the official sponsorship arrangement changes. 12. Where a student transfers to a new program or applies for admission to a new program, a new Notification of Sponsorship form must be completed. A Notification of Sponsorship form is only valid for the program or course listed on that form. 13. Where Overseas Student Health Cover (OSHC) is being paid by a sponsor, the sponsor should note that this fee varies according to whether the student requires single, family or program length cover. The OSHC amount being covered must be clearly indicated on the Notification of Sponsorship form. 14. Sponsors are invoiced by email each semester or session, directly by the University, for the fees and charges covered by the agreed sponsorship(s). Payment will be required within the time period specified on the invoice. 15. If all fees for the current teaching period are not paid by the last day of the session, the student will not: - be able to obtain results,
- be permitted to enrol for any further study
- be permitted to graduate until the outstanding debt is paid in full
16. It is the responsibility of the sponsored student to ensure all fees are paid on time. 17. Student enrolment details, results or personal information cannot be released to the official sponsor unless the student has provided the University with a signed Consent to the Disclosure of Personal Information form.
